ADMINISTRATIVE ASSISTANT

What You Will Do:

The Administrative Assistant will provide support and responsive services for executive leadership, department managers, employees, and office visitors by handling a variety of tasks to ensure all interactions between EMI and others are positive, productive, and most importantly completed to the satisfaction of the company and client.

The ideal candidate is computer savvy and eager to share their skills with the team as well as expand for departmental growth. They will be a self-motivator, talented, outgoing, attentive, personable individual that loves connecting with the people they support. They will have a minimum of (1) year experience in an administrative field. They carry the ability to calmly and professionally assist customers and their team members with support information. They strive to build relationships and trust with individuals and obtain satisfaction from swiftly resolving issues with enthusiasm.

What You Will Own:

  • Provides administrative support to Executive Leadership (CEO, VP, & Directors) to ensure efficient operation of office.
  • Answers all incoming phone calls, schedules meetings for executive staff, and supports visitors.
  • Exhibits polite and professional communication via phone, e-mail, and in-person.
  • Responds timely to all email correspondence, both internal and external.
  • Autonomous execution of all tasks assigned, meets all deadlines, and completes follow-ups to adhere to schedules with little to no supervision from management.
  • Ensures department managers are briefed on urgent matters funneling through electronic and telephonic channels.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies as approved by the Operations Manager.
  • Oversees coordination of all in-house events such as birthday/anniversary celebrations, business luncheons, and holiday events.
  • Assists with administrative duties related to system rollouts, policy updates, and takes minutes at company meetings.
  • Makes travel arrangements for executive leadership such as booking flights, cars, and hotel or restaurant reservations.
  • Carries out administrative duties for the sales and development departments such as email correspondence, client and vendor agreements, creates presentation packages.
  • Supports Marketing & Development team by performing research and submitting applications related to projects.
  • Continues development of administrative and creative responsibilities through continuing educational and experiential growth opportunities.

Who You Are:

  • Bachelor’s degree from a 4-year accredited university or equivalent experience
  • Ability to promptly answer support related email, phone calls, and other electronic communication
  • Ability to actively interface with clients
  • Ability to take constructive criticism & independently implement improvement
  • Aptitude (Ability to learn new technologies quickly)
  • Stress Management (Ability to multi-task and meet deadlines under pressure)
  • Ability to work through issues methodically
  • Experience and comfort supporting executive customers
  • Advanced knowledge of Windows and Microsoft Office 365
  • 1-3 years of professional office experience
  • Incredible sense of pride and passion for what you do and a desire to help your teammates
  • Excellent verbal, written, and critical thinking skills
  • Ability to work efficiently & accurately

Job Type: Full-time
